Academic Records Coordinator
GSPH-Office of the Dean - Pennsylvania-Pittsburgh - (25007048)
Provides academic services and information regarding academic policies and procedures to students, parents, staff, faculty, department heads, deans, and offices within and outside the School of Public Health. Responsibilities include:
Inform students, faculty, and staff about School of Public Health academic policy and procedures
Process applications for internal transfers from other Pitt schools into BSPH program
Process admission records for school-level certificates and undergraduate student summer programs
Create applications for students seeking internal transfer to other Pitt undergraduate schools
Assist with internal transfer process by maintaining communication with administrative personnel in other Pitt undergraduate schools
Assist with processing of appropriate University and School of Public Health forms to ensure individual student records are up to date
Assist with data entry into the internal transfer database
Evaluate external transfer students' records
Explain academic policies and procedures regarding graduation to students, parents, staff, faculty and department heads
Assist with graduation certification
Create and send letters for Internal Transfer Admissions, Academic Standing, and Dean's List
Counsel students, faculty, and staff on School of Public Health academic policy
Track receipt of college transcripts and test scores for admitted students
Enter data of all transfer credit and requirement exemptions for admitted students
Other duties as assigned
Experience in an institution of higher education is preferred. Proficiency with Microsoft Office Suite and electronic-based records management systems is essential.
Job Summary
Assists in managing the Registrar's student academic records. Manages record storage and access to off-site records, reviews records' retention schedules, and reviews disaster recovery policies. Maintains expert-level knowledge of academic policies and procedures and provides guidance on them to University constituents.
Essential Functions
Employee must be able to use a computer and keyboard, as well as utilize video communication technology (E.g., Zoom, Teams). Work is frequently conducted by email, telephone, in-person, or using video communication technology. The ability to communicate in a clear and concise fashion is essential.
Physical Effort
This position is generally sedentary within an office setting. The ability to travel around campus occasionally is necessary.
