Bioengineering - Pennsylvania-Pittsburgh - (25005764)
The University of Pittsburgh, Department of Bioengineering is seeking an Executive Administrator. This individual will provide direct administrative professional support to three faculty members.
Key Duties
• Assists with scheduling meetings, travel schedules, coordinating events, expense reimbursement, making purchases, and other clerical duties.
• Assists with administrative duties for the laboratory staff and students.
• Assists with budget preparations, collects payments, and verifies billing information; assists with vendors on quotes and invoicing.
• Review grant expenditures for accuracy and prepare monthly expenditure reports, track due dates for grant reporting to ensure the timely submission of research reports.
• Must be able to consistently meet deadlines throughout the year for multiple stages of grant funding.
• Excellent time management, organizational, and prioritization skills with the ability to meet deadlines under pressure. Strong oral/written communication, and interpersonal skills to effectively interact with faculty members and staff.
• Work on special projects for the named professors, as needed.
• Proposes solutions to moderately complex problems; identifies improvements for efficiency and accuracy.
This position requires initiative, professionalism, discretion, and the ability to work independently in a fast-paced environment. Incumbent must have excellent interpersonal skills to work effectively with personnel from various educational, governmental and industrial institutions. Accuracy, timeliness, and the ability to multi-task is essential. Incumbent must have proficiency with Microsoft Office applications and other University systems.
Job Summary
Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.
Essential Functions
Ability to speak clearly for telephone contact, have manual dexterity to use keyboard, 10-Key numeric keypad, and other office equipment. Ability to manage multiple tasks at one time and display a professional demeanor. Assessing the accuracy, neatness, and thoroughness of the work assigned.
Physical Effort
Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally. Communicating with others and repeated motions that may include the wrists, hands, and/or fingers.
