Position Summary:
The Fiscal Support Supervisor is responsible for performing a wide variety of fiscal related tasks that are standard or regular support duties within an assigned department or program and for researching financial data and preparing reports. The position is governed by Generally Accepted Accounting Principles, state and federal laws, and agency/institution policy.
Duties & Responsibilities:
- Greets walk-in traffic and directs students and visitors
- Answers/refers calls and emails to provide proper information
- Compiles and maintains office administrative information such as departmental budget, purchasing, and accounting, including tuition waivers, reimbursement checks, office supplies and technology, campus ordering, P-card/ Department T-card reconciliations, Foundation requisitions and reimbursements, Additional Compensation Forms, Employee Personnel Action Forms (EPAF), and budget transfers, etc.
- Maintains filing and record keeping of departmental/college records, such as employee files, various computerized and paper files, records, logs, reports, and retrieves information upon requests •
- Collects, sorts, receives, and distributes internal and external mail and packages
- Supervises work-study students, part-time office assistants, and Graduate Assistants
- Schedules interviews and develops itineraries for campus visits • Assists in planning departmental/college events
- Prepares documents and emails the requested document to the chair or dean's office such as; faculty workload, office hours, key requests, and reporting building issues to the building liaison
- Processes and completes paperwork for all departmental/college deans' office travel
- Maintains research/grant files for the college, places orders against various college accounts, reviews accounts, and submits transfers for budget revisions
- Research previous years' expenditures and projects salaries/expenditures for the upcoming year
- Assist with scheduling and organizing college/departmental events
- Post job position and assist with faculty/staff searches, departmental/college
- Prepares and monitors assignment change forms as needed; and new hire forms on Taleo for faculty and work-study students; monitors graduate assistants hiring on EPAF
- Procures infrastructure items, equipment, technology, design project supplies, etc., for students and faculty
- Other duties as assigned
Knowledge/Skills/Abilities:
Knowledge of accounting principles and database management
Knowledge of software applications
Knowledge of applicable laws, regulations, and policies of assigned section, and customer service techniques
Ability to comprehend and assimilate technical and business-related documents
Ability to apply policies and procedures and other applicable regulations associated with assigned department or program, and conduct research, perform quantitative assurance reviews, and prepare reports
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:
The formal education equivalent of an earned Bachelor's Degree
One (1) year of specialized training in business management, business education, or a related field
Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
