Description
The Post-Award Coordinator (Non-Financial) in the office of Sponsored Programs and Research (OSPR) provides comprehensive administrative and compliance support for externally funded grants and cooperative agreements at the University of West Alabama. This position manages the non-financial aspects of the post-award lifecycle, ensuring compliance with sponsor requirements, federal and state regulations, and University policies from award acceptance through project closeout.
This role serves as a primary liaison among Principal Investigators (PIs), academic departments, finance and compliance offices, and external sponsors to support the successful implementation and administration of sponsored research and programmatic activities.
Essential Duties and Responsibilities
Post-Award Coordinator
- Manage the non-financial aspects of awarded grants, contracts, and cooperative agreements.
- Work in tandem with the Financial Affairs to support faculty regarding the financial management of grants.
- Review award documents and sponsor terms and conditions; coordinate award acceptance with appropriate University offices.
- Ensure accurate project setup and maintenance of award documentation within institutional systems.
Compliance and Regulatory Oversight
- Interpret and advise on sponsor regulations, including federal, state, foundation, and industry requirements.
- Ensure compliance with applicable regulations and policies, including Uniform Guidance (2 CFR 200), sponsor-specific requirements, and institutional policies.
- Coordinate with compliance units related to IRB, IACUC, conflict of interest, subrecipient monitoring, data use agreements, and reporting obligations.
Reporting and Deliverables
- Assist PIs with reporting requirements, including technical, progress, and final reports.
- Coordinate report submissions with PI to ensure accuracy, completeness, and timely delivery.
- Maintain reporting calendars and documentation to support audit-readiness and record-retention requirements.
Award Modifications and Closeout
- Process and coordinate requests for no-cost extensions, scope changes, key personnel changes, and other award modifications.
- Support non-financial closeout activities, ensuring all technical and compliance requirements are satisfied.
- Assist with sponsor communication and respond to post-award compliance inquiries.
Principal Investigator Support
- Serve as a primary point of contact for PIs on post-award matters.
- Provide guidance, training, and interpretation of sponsor and University requirements.
- Promote best practices in sponsored project management.
Collaboration and Process Improvement
- Work collaboratively with finance, legal, procurement, and academic departments.
- Assist in developing and maintaining policies, procedures, and training materials for sponsored programs administration.
- Identify opportunities to improve post-award processes and service delivery.
Qualifications
Minimum Qualifications
- Bachelor’s degree from an accredited institution or evidence of 10 years of experience in grant management.
- Experience in sponsored programs administration, research administration, or higher education administration.
- Knowledge of post-award grant administration and compliance requirements.
- Strong organizational skills and ability to manage multiple deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and administrative systems.
- Ability to interpret complex sponsor guidelines and institutional polices.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and collaboratively in a service-oriented environment.
- Professional judgment and discretion in handling sensitive information.
Preferred Qualifications
- Experience working with federal sponsors (e.g., NSF, NIH, DOE, USDA).
- Familiarity with Uniform Guidance (2 CFR 200).
- Experience using sponsored programs or research administration system terminology and software (Research.gov, EzFedGrants, GrantSolutions, G5.gov, etc.).
- Prior experience in a university or research-focused environment.
