Location: Albany, NY Category: Professional Posted On: Fri Oct 17 2025 Job Description:The Program Coordinator is responsible for key operational activities that manage and support the planning, implementation, and evaluation of programs and activities at the CWGCS. This role ensures that program goals are met by managing logistics, monitoring progress, problem solving and providing administrative and operational management. The Program Coordinator serves as a key point of contact for faculty, staff, participants, and partners, fostering effective communication and collaboration.
Successful candidates will demonstrate outstanding attention to detail, strong communication and interpersonal skills, a high level of commitment to exemplary customer service, and the ability to work independently and as part of a close-knit team, including relationships with members of the Center's Board of Trustees.
Primary Responsibilities:
- Operates independently to coordinate and manage all operations under the direction from Senior Executive Director in planning, developing and implementing program goals, strategies and procedures including recruitment and orientation, and execution of CWGCS programs, including fellowship and leadership initiatives and programs, policy seminars, and capacity-building events; Manage all phases of program administration, including application and selection processes, onboarding and orientation of participants, material development and organization of programmatic sessions, and delivery of services; Develop materials for and communication with program participants and external stakeholders including government officials; Program and event management including all phases from idea development, planning and communications to execution and quality control; Ensure compliance with University policies and procedures, sponsor/funder requirements.
- Development and implementation of the Center's communication plan using social and traditional media outlets by preparing various digital and hard copy materials that promotes CWGCS academic programs, research, and events both internal and external; Initiate and prepare content for newsletters, press releases, social media, brochures, and the CWGCS website; Represent the Center at public events, conferences, and stakeholder meetings that strengthen Center visibility and partnerships.
- Serve as the primary point of contact of communication for program participants, staff, Center board members and stakeholders.
- Develop and prepare presentations, talking points, and briefing materials for Center leadership and University administration and with Center partners. This material is critical to relationships with external and internal stakeholders.
- Coordinate and support HR transactions; financial tracking and budget reconciliation; work in coordination with the Center's fiscal officer on the development of the comprehensive Center budget; manage financial activities including procurement and reimbursement processes, purchasing and travel card administration, and general budget transactions. Support the management of contracts and grants.
Functional and Supervisory Relationships:
- Reports to Executive Director and Clinical Professor, CWGCS
- Supervises the following positions: none
- May supervise employees as assigned (if no direct reports at time of filling position)
Job Requirements:
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite, Google Workspace, or project management tools (e.g., Asana, Trello).
- Ability to work independently and handle multiple tasks simultaneously.

Job Requirements:
Minimum Qualifications:
- Bachelor's degree in public administration, social sciences, education, nonprofit management, or related field.
- 2-3 years of experience in program coordination, project management, or administrative support.

Preferred Qualifications:
- Master's degree in social science or related field from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
- Experience with project management or CRM software

Professional Rank and Salary Grade: Program Coordinator, SL3, $57,151 - $60,000
