POSITION SUMMARY:
Reporting to the Executive Director of Advancement, the Development Coordinator is responsible for alumni and donor engagement and stewards all donors to and alumni of the OU College of Medicine. The coordinator supports the COM Advancement Team through alumni engagement and outreach, data analysis, donor relations and event planning, and assists the executive director with special projects.
In coordination with Foundation colleagues, this professional will support the planning of the following College of Medicine events:
- Alumni Day
- Reunion activities
- White Coat/Stethoscope Picnic
- Regional alumni gatherings
- Scholarship receptions
- OU/TX engagement opportunities
- Stanton L. Young Master Teacher Dinner
KEY RESPONSIBILITIES:
Alumni and Constituent Engagement (50%):
- In coordination with the AVP for Annual Giving & Alumni Engagement, develop and execute strategies to engage alumni within the life of the college.
- Provide leadership to or assist with the coordination of alumni/donor events.
- Collaborate with the University of Oklahoma Foundation to identify alumni for philanthropic support.
- Support targeted outreach to alumni across specialties and graduating cohorts in coordination with Annual Giving & Alumni Engagement.
- Communicate with all COM alumni through a monthly digital newsletter and other media.
- Create follow-up plans from events to move participants into the donor pipeline.
- Serve as a point of contact for alumni inquiries or engagement opportunities.
- Serve as liaison to relevant College Boards and Alumni Groups.
Stewardship and Donor Relations (20%):
- Draft personalized stewardship touchpoints (thank-you notes, impact updates, donor spotlights).
- Coordinate stewardship reports for endowed and annual funds tied to COM priorities.
- Ensure timely recognition of donors at all giving levels.
- Organize small stewardship events such as lab tours or meet-and-greets with faculty.
Data and Reporting (20%):
- Pull and analyze reports to track portfolio activity, event engagement and annual giving performance.
- Maintain accurate pipeline tracking dashboards for gifts in the $1,000 - $50,000 range.
Internal Team Collaboration (10%):
- Support college frontline major gift officers with prep materials, scheduling and donor follow-up.
- Participate in strategy sessions for key prospects and fundraising priorities.
- Assist the Executive Director with special projects and priority initiatives, including preparation for leadership meetings with the Dean or department chairs.
Perform related responsibilities as required or assigned.
Requirements
REQUIRED QUALIFICATIONS:
- Excellent organizational and time management skills with the ability to manage multiple projects simultaneously.
- Strong business writing skills including composition, format, proofreading and editing.
- Ability to plan and execute events.
- Solid interpersonal skills and the ability to interact professionally with donors, alumni, college leadership and campus partners.
- Experience coordinating logistics and timelines.
- High attention to detail and commitment to accuracy.
- Ability to analyze data.
- Proficient with Microsoft Office Suite.
- Advanced Outlook-based calendar and scheduling skills.
- Ability to learn new systems and databases quickly and extract reports.
- Proficient in Excel.
- Produce easy-to-read, well-made reports.
- Ability to work independently and in a team-based environment.
- Ability to work occasional nights and weekends and travel as needed.
Education/Experience:
- Bachelor’s degree in nonprofit management, communications, public relations, or related degree.
- At least one year of post-collegiate professional experience.
Preferred Qualifications:
- Experience working in a nonprofit environment.
- Fundraising, customer service, event planning, or sales experience.
- Familiarity with CRM (donor database).
