Position Summary:
The Early College Programs (ECP) Project Coordinator provides support for concurrent enrollment, dual enrollment, pathway, and college readiness initiatives. This position assists with course scheduling, enrollment processes, student records, instructor support, program documentation, and stakeholder communications/training. The Project Coordinator works closely with school partners, academic departments, Admissions, Recruitment, Admission Processing, and university offices to ensure the accurate and timely completion of program processes while supporting the daily operations of Early College Programs.
Duties & Responsibilities:
Enrollment and Program Support (30%)
- Process high school course requests and send for academic department approval.
- Prepare Banner section builds and assist with course setup processes.
- Process instructor information and assist with course assignment documentation.
- Maintain enrollment records, roster updates, enrollment corrections, and withdrawal requests.
- Process Scarlet Shirt Freshman (SSF) course requests and maintain tracking records.
- Distribute pre-check rosters and review submitted updates for accuracy.
- Assist counselors, instructors, and students with registration and access-related issues.
- Process final grade collection and support end-of-term procedures.
- Maintain enrollment and student records throughout the academic cycle.
Partner and Student Assistance (50%)
- Serve as a point of contact for counselors, instructors, students, and school personnel.
- Respond to program inquiries and provide information regarding processes, deadlines, and requirements.
- Provide support during high school visits, training events, and partner meetings.
- Assist with counselor and instructor training materials and communications.
- Support recruitment activities, travel logistics, and outreach communications.
- Maintain communication with stakeholders regarding academic deadlines and program updates.
- Assist with troubleshooting student and instructor access issues.
Administrative and Records Management (20%)
- Prepare EPAFs for adjunct instructors, faculty liaisons, and other personnel appointments.
- Track financial aid forms and other required program documentation.
- Maintain website content, Knowledge Base resources, and program materials.
- Verify course, instructor, and section information within institutional systems.
- Maintain program files, records, and documentation in accordance with university procedures.
- Prepare reports, spreadsheets, and operational materials as requested.
- Assist with updates to forms, resources, and program documentation for each academic cycle.
- Liaison with Admission Processing for overall processing of ECP applications.
Knowledge/Skills/Abilities:
Experience with dual enrollment, concurrent enrollment, or early college programs preferred.
Strong cross-functional team player.

Experience with student information systems (e.g., Banner, Slate) and educational technologies.

Able to demonstrate strong communication skills, including the ability to collaborate with academic departments and high schools.
Able to promote Early College Programs to prospective students and encourage participation.

Minimum Qualifications:
An earned Bachelor's Degree in Higher Education or related field.
Experience in Early College Programs, dual enrollment, concurrent enrollment, or related field preferred.
