Job Description
The Assistant Registrar is responsible for supporting the work of the Registrar, oversees the registration processes for the first year, serves as a bridge between the Registrar's Office and Academic Advising, and supports students at-risk academically. This position helps students in their transition to college life and supports them through degree completion.
Responsibilities
- Assistant to the Registrar
- Assist in managing written communication. Draft, proof, and edit correspondence.
- Maintain effective relationships and communications with departments across campus.
- Assist in guiding and orchestrating various aspects of commitments and deliverables including policies, strategic issues and initiatives.
- Organize internal and external meetings including logistical details and material/presentation preparation.
- Work independently with a high degree of autonomy.
- Provide special project leadership and support as needed.
- Registration:
- Supervise and implement freshmen registration, including data management and interacting with students and families.
- In collaboration with academic departments, provide course recommendations to first year students.
- Present to FYS classes prior to registration to train them on Degree Works, the general education curriculum, and registration information.
- Develop content and communication for all students regarding registration.
- Register, communicate, and serve as the academic advisor of freshmen starting the spring semester.
- Assist with the transfer student registration process, including, but not limited to credit evaluation and articulation, advising and registration support, and transitioning to Hope College.
- Regularly meet with the Director of Advising to collaborate on initiatives and to provide foundational training to faculty, staff, and students on the curriculum and systems needed to support students for a clear path to degree completion within the regulations of the academic program.
- Co-lead the First Year Transitions Team to oversee the communication plan to incoming students and overall experience transition to college.
- Serve as an academic coach to students on Academic Program through the Academic Improvement and Resilience (AIR) Program.
- Collaborate with the Success Student Success Data and Systems Manager to coordinate communication to freshmen.
- Help maintain data in our Student Information System (SIS), Banner, that supports ancillary systems used on campus.
- Maintain and update the How to Declare a Major website and inform freshmen of the major declaration process in the spring of their freshmen year.
- Serve as back up support maintaining our degree audit system, Degree Works.
- All other duties as assigned by the supervisor.
Qualifications
- Bachelor is required. Master is preferred.
- Two (2) years' experience in a position directly related to the duties and
responsibilities specified. - Advising and registration experience.
- Familiarity with advising and registration systems. Banner and Degree Works preferred.
- Direct experience engaging and serving diverse communities and individuals from diverse backgrounds.
- Ability to deal with students and with student issues with sensitivity and compassion.
- Ability to work under time constraints.
- Be highly self-motivated.
- Be highly organized and detail-orientated.
- Have strong interpersonal skills, with a collaborative mindset.
Physical Demands
This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
