Position Summary
The Subrecipient Supervisor is involved in the accurate and timely completion of subrecipient creation and modification with our external collaborators. The position will interpret funding mechanism documents, establish and maintain documents/files pertaining to pre-award administration. This position will effectively work and communicate with personnel within the University, as well as with collaborating institutions and entities. Strong written and verbal communication skills are essential. This position involves a high level of analytical skills and the knowledge of UGA / UGARF federal, state, local, for-profit, non-profit, and international sponsors. The workload for this position includes our most complicated sponsors, subrecipients, and internal/external authorities. This position involves consistent demonstration of independently managing work queue, honoring deadlines and performance metric expectations, resolving common issues, and consistently demonstrating SPA Customer Service Standards. Grants Assistants will process a heavy load of the more complex subrecipient agreements and their modifications. Due to the breadth of knowledge and experience, this position will rarely need assistance with our most complicated subrecipients/issues. This position supervises the day-to-day activities of a team, including mentoring and training SPA Team Members, assessing individual performance, assigning work, and working directly with team members to support operational success.
Knowledge, Skills, Abilities and/or Competencies
- Strong managerial skills, supervisory skills, and demonstrated leadership skills with the ability to supervise and mentor a team of research administrators and apply human resource and managerial skills to oversee the day-to-day operations of a team of research administrators responsible for the review, negotiation and acceptance of awards for and modifications of external funding at UGA .
- Outstanding problem-solving and interpersonal skills to deal effectively with issues at all levels.
- Ability to communicate effectively both orally and in writing with faculty, staff, and external partners.
- Ability to independently manage competing priorities and meet time-sensitive deadlines and the ability to train others to do the same.
- Commitment to excellent customer service and the ability to multitask, as well as to impart the techniques and ability to do the same to others.
- Extensive knowledge of the methods, procedures, and techniques used in the review, negotiation, set up, and administration of sponsored projects awards and modifications.
- Expert knowledge of institutional policies and procedures pertaining to external funding.
- Ability to establish and maintain effective working relationships with university, state, and federal agencies, as well as private organizations. Ability to partner with other managers in SPA to ensure a seamless process for the life cycle of sponsored activities.

Subrecipient Team Oversight
- Manage the overall subrecipient work queue ensuring appropriate workload balance, timely processing, escalation of issues.
- Monitor average processing times with a focus on bottleneck analysis. Work with SPA leaders to identify and implement process improvements focused on automation and streamlining to ensure effective and efficient processing.
- Comply with sponsor requirements, SPA policies and procedures across the subrecipient lifecycle.
